Job Overview:
The Procurement and Administrative Assistant will oversee and streamline procurement and administrative processes within the Activity. This role requires a solid background in procurement and general administration, ensuring smooth coordination and accountability within the team.
Key Responsibilities:
- Handle requisitions for goods and services, including sourcing quotations, preparing procurement analyses, obtaining approvals, and issuing Local Purchase Orders (LPOs), contracts, or agreements.
- Coordinate order placements with suppliers and track the timely delivery of goods and services per agreed specifications.
- Maintain an up-to-date procurement tracker to monitor ongoing transactions.
- Collaborate with the Finance department to ensure timely processing of supplier payments.
- Reconcile supplier accounts and maintain accurate procurement documentation, both digitally and physically.
- Organize logistics and administrative support for meetings, conferences, and workshops.
- Ensure procurement records are well-maintained, up-to-date, and aligned with Procurement and Supply Management (PSM) standards.
- Assist in archiving operational documents in both digital and hardcopy formats.
- Manage hotel reservations and liaise with vendors as needed.
- Provide general logistical support to staff.
- Carry out administrative tasks within the Nairobi office.
Qualifications and Skills:
- A bachelor’s degree in Purchasing and Supplies Management, Business Administration, or a related field from a recognized institution.
- At least three (3) years of relevant experience in procurement and administration.
- CIPS or KISM certification is an advantage.
- Knowledge of donor regulations, including USAID procurement guidelines, is preferred.
- Strong interpersonal skills and effective written and verbal communication abilities.
- Highly organized, self-motivated, and detail-oriented.
- Ability to work effectively in a team-oriented environment.
- Upholds professionalism and confidentiality in all aspects of the role.
Contract Terms:
- Job Type: Contract
- Compensation: 160,000 KES per month. Actual earnings will depend on the completion of assigned tasks, with compensation reflecting the deliverables and workload associated with the role.
